RCC Committee minutes from 5th Feb 2011

Here's are  the minutes from the last RCC Committee meeting.

                                            

REDHILL CC COMMITTEE MEETING.  7.15pm Tuesday 25th January

at Reigate and Redhill YMCA

 

Present: P.Clarke,  G.Ashton, A.Webb, F.Grainger, B.Dunbar, M.Swan, R.Burbidge

1. Apologies

2. Approve and sign minutes
The minutes of the Committee Meeting of 22nd November 2010 were approved and signed

3. Business arising
A front page for the triathlon section has been created and a new forum section with topics for events, training and discussion will be added. The club has a team of seven entered in the East Grinstead Tri event. The club is able to provide Endura kit for triathletes but discounts are dependent on the size of orders with Trisuits being one of the more expensive items.

4. Calais
The Calais trip will be held on the 17th September - Mike Ormerod organising again.

5. Awards Ceremony
Reigate and Redhill Golf club has been booked for the annual trophy awards ceremony at a cost of £150, a hot buffet will be provided at £21 per head. There will be even more winners this year thanks to the new G trophies for Saturday riders. It is hoped there will be a response of at least 50 people.

6. Summer Ball idea
It was decided not to hold a ‘summer ball’ this year but to keep the idea on the back-burner for next year. This is due to the new format for the BBQ which will go ahead on September 4th the same day as the Redhill YMCA Sportive and needs lots of organisation/support, (Sharon is to find a suitable village hall or similar as a venue).

7. Cycling Nuts.
The club will promote the Cycling Nuts event once again at Hillingdon, with John Leitch making the same funding arrangements as last year.

8. Website
It was agreed that Lewis Burgess will be given admin access to the website as he has experience in site building etc and has been working in co-operation with Andrew Murray to iron out some of the glitches on the site.

9.Chairman's report.

Kit is due very soon, we have around £4700 worth on order for Road, MTB and Tri.  Amazing support for club kit but a lot of admin involved behind the scenes.
We have a shortage of marshals to cover events we are required to attend and support as a club: Adrian will ask the membership to register an interest.
Adrian has asked the committee/club to  look into alternative venues for ride starting points as Woodhatch is being outgrown. A warm spring Saturday could bring 120 - 130 riders out which is just too big for the park. Also a suggestion that rides are given specific names and maybe get people to register before the ride.

10.Secretary's  Report.

11.Membership Secretary's Report.
The electronic system appears to be working well on renewal, about 150 people have renewed so far with a small proportion choosing to send a cheque. Club membership nearing 300 for the first time.

12. Treasurer's report.

Sharon has not prepared figures as yet as waiting for January statement which will need to be reconciled. Report to be sent soon after.

13.Press and publicity report.

The Good Fellowship news story made the local press. Mike still keen for stories from the club as there is appetite at the Surrey Mirror for RCC info.


14. Road Event Secretary's report.
Brian submitted the following notes to the meeting in his absence:

  • Saturday attendances have been phenomenal since the snow has cleared. Two weeks ago there was 75 in the park. Last week 45. Slightly worried re summer and turn out and because Woodhatch is so ideal, we are going to tryout signposting and see if it works.Sunday events also doing well in conjunction with the traditional ride. Last week, Geoff lead out approximate 10 no on the base ride and Nicks G3 took a reasonable bunch as well.
  • Frank’s observations re G1 ride is noted (ie speed minimum) and will be discussed at the next ride leaders meeting.
  • Calendar sportive events etc for this year are now posted on the website.
  • Etape Hibernia - 7 participants sign up.
  • Redhill YMCA RCC Sportive- preparations ongoing for a September event.
  • Thanks to Rupert for the turbo Training and Geoff for organising Majorca and the Sunday base training. Nick merits a mention of thanks for the recent Sunday G3 rides.

15. MTB  Secretary's Report
John submitted the following notes to the committee in his absence:

- Ride numbers - good turnout all winter, with a peak of 24 on 2 Jan.

 Most rides still attracting c.15+

- Rides - good spread with the calendar filled until early March...

- Ride Leaders...however, ride leaders are a bit shy, maybe it's the weather. HELP!!!!!

- Night Rides - due to start up again soon, Jon H has plans (but don't tell Sharon)

- Training rides - being scheduled in, with Gareth leading one later in Feb, aimed at all those building towards enduro/competitive events this year

- Roadies - a-plenty, on fat tyres, getting muddy, smiling, and enjoying themselves (I hear a rumour that even Rupert has got one, with aero bars and a disc wheel, of course....)

- Tracks - Fran's first class publication never fails to impress... our thanks to Fran

- Surrey Hills Society - I've not had time to meet them post-public meeting as yet

- Events - Several things planned, still room, roadies welcome to come pod-camping in Shropshire in July

- Skills - an event that Gareth, I and a few others are attending... any chance of a contribution towards our costs from the club as we'll cascade our learning and I promise to organise a BKB "session" in April/May.

- Curry night planned, need names to know who's coming (spaces are limited, see thread on forum)

- New members - I'm averaging one email per week for the last twelve months, with a 50% show-rate. Not sure re conversion to new members, but c. 50% of show-rate (ie. ~10-12 new members?)

Sadly John will be moving to Bournemouth in September.

16. MTB Events secretary's report.
Ten people have signed up for the Peak District weekend, Gareth is also arranging a trip to Shropshire with Bladed Bikes in June at a cost of £30-00 pp, it was agreed that the club would contribute towards travel costs for this event.

17. Racing secretary's report

Turbo evenings have now started with a good turnout. Saturday ride numbers are up despite the time of year. Surrey League and British Cycling subs have been paid, and the key cat 4 events are on the site. John Leitch is organising trips to Hillingdon in Feb/March and Maria Balbi has arranged a trip to Calshot.

18. Time Trial Secretary's report.
Geoff absent but discussed: The need to find timekeepers is becoming urgent, it's hoped we can find two or three people who can take turns.

19.Promotion Secretary's Report.  N/A
