Redhill Cycling Club Committee Meeting, 29th September 2010
Held at: YMCA Redhill

1. Present: Rupert Burbidge, Phil Clarke, Frank Grainger, Gareth Ashton, Brian Costello, Nick Curran, Adrian Webb, Sharon Houghton, Bruce Dunbar

2.The committee agreed with the proposal to apply to the British Triathlon Federation for membership. Adrian will get the forms for completion ASAP. This will bring a number of benefits to members who are triathletes already (ie they will be able to compete in RCC colours, insurance benefits etc) and also help us attract other potentially strong riders.

3. The committee decided to re-instate the requirement for proposers and seconders of new members. The current system allows anyone to download and send in an application form with a cheque. This will be done by asking new riders to ride on at least three rides before obtaining an application form signed by a leader or committee member who knows them and submitting the form to the membership sec.

4. Cyclo sportive. Mike Ormerod raised the possibility of RCC helping the YMCA who are keen to run a sportive next year - primarily to raise funds for the YMCA Sovereign project. Thoughts were that this should be more a 'Redhill Sportive' event with 'equal branding' for RCC/YMCA to set precedent for the future. BC felt the club must benefit from the event - either financially or through membership. Sharon suggested we combine with the club BBQ and for the YMCA to allow us to use their grounds in return for our support. it was agreed that an event on our home patch would help during the August period where most sportives require a journey to the start. The clear benefits of the YMCA's involvement are the insurance, start venue and access to timing chips etc.

A sub committee will be formed from the YMCA as well as RCC members to consider/plan the event. It was suggested we could run it as a two day event to include MTBs.

5. Chairman's Report.

Raiders: John Leitch has requested we allow the Raiders to join a G1 Saturday ride once a month. This could be renamed a G0 ride. This was agreed to, extra leaders will be needed together with a limit on the group size depending on how many parents also join. 9th October has been chosen as the first trial for this.

Maria Balbi has asked us to consider a request from herself and Jo Dipple asking about the possibility of a club event in Italy next year using an established supplier. It was felt the club could help publicise and support such an event via the forum to gauge potential takers and interest but not to make it an official RCC event as we already have the France and Mallorca trips. It was noted that the difference is that France/Mallorca are completely internally organised whereas here, the external supplier seems well set up for arrangements.

The club BBQ was both well attended and an excellent venue/food. Seemed to be appreciated by all. Sharon has some ideas for next year's event and has offered to co-ordinate (this was also discussed in the Redhill Sportive item).

6. Secretary's report.

Frank has prepared a list of website access privileges which was given to committee members. Discussion over asking leaders on their ideas as to who should have contributor status. It was felt that all ride leaders should - if they wish - be contributors but potentially other established riders.

Both CTT and R&B affiliations have been renewed.

7. Membership. Nick has resigned the post of membership secretary and Frank will deal for the time being, it being a good fit with the General secretary role. Adrian thanked Nick on behalf of the committee and expressed the hope he will remain to contribute to the club.

8. Treasurer's report.
The account stands at about £600 at present, this is the result of the volume of clothing being held in stock. C&N are holding cheques and cash for the recently sold stock and once this is paid in it will improve balances considerably. Most of the pre-ordered clothing has been collected now with the balance remaining for new members (or those whose kit has worn out). Sharon would like a volunteer to keep a proper stock and accounts list.

9. Press and Publicity. Mike has reported that he was dissapointed that no reference has been given to Jill Parker's triathlon result in the GB team and hopes to rectify it in next week's edition of the Surrey Mirror. The committee would like to congratulate him for the excellent arrangements made for the recent Calais trip and hope it can be repeated next year.

10. Road events. Saturday rides have been extremely well attended with up to 50 riders turning out, despite the weather. Like new Sunday rides have been on the up and up. Sharon and Nick would like to donate five small trophies to be awarded to the most improved Saturday riders from each 'G'.

11. MTB Secretary's report. John Twitchen apologised via email for not attending. He sent an report that the off road rides have been well attended, last Sunday's social extra had 21 riders. A skeleton calender until the end of year is in place.

On the racing front there have been lots of charity and fun events with quite a few off roaders crossing over to road riders and one or two vice-versa. Helen Wheeler has played a very useful role in organising various events on behalf of the club ( Frank recorded the committees thanks to Helen at this point, and will pass on to Helen.)

Clothing is gong well, John has set up a stock list with C&N that they seem to like and John would like to see another order going in soon. John asks if there is any feedback on the Gazebo, it features prominently in the next Tracks edition.

12. MTB Events. Unfortunately, the Welsh trip was cancelled due to lack of support

13. Racing Secretary's report.
We are now joint 4th in the Surrey League, Rupert attended the BCF AGM , they need 100 thousand members by 2013 to become financially self supporting and we are to encourage our people to join. Rupert would like to see something about this sent with membership cards. The recent Raiders/Cycling Nuts event needs to be better advertised - more can be done in future.

14. Time trials. Geoff has booked 20th Feb and 11th June for next year's RCC open TTs.

15. No promotion sec report.

AOB Adrian has had a request from the British Bicycle Association for the placing of an ad on the site, he is to investigate further. While our position has always been not to accept advertising, this request appears to offer a monthly payment for traffic so to be considered before rejecting.
